How to Reserve Trip?

BOOKING PROCEDURES

All bookings are made with Asian Hiking Team Pvt. Ltd. based in Thamel, Kathmandu, Nepal. The trip is referred to as a Company in the booking conditions. We take your reservation to join an Asian Hiking Team trip seriously. Our Booking process will require some extra time and paperwork from you, but this helps us do a better job screening our Clients and ensuring that we get on a program that fits their experience and expectations. Please do not hesitate to contact us if you have questions regarding our application procedures.

Supporting Materials for Trekking, Tours and Peak Climbing:

a) Submit the Personal Registration Form(if you have not all the information at the time to fill the form, you can fill whatever you have and send us.)

b)  Passport copy:

c)  Passport size picture:

 For Expedition only - you need to send us the following documents too : 

a) Health Certificate.

b) Personal Bio-data.

c) Full doses (two) of COVID Vaccinated certificate.

Note: If you are UNDER THE AGE OF 18 (Noteonly for Peak climbing and expedition): you must be accompanied on the climb by a parent or legal guardian and both you and your parent or legal guardian must sign ALL FORMS.

 

PASSPORT AND PHOTO: For Asian Hiking Team programs, we need a high quality copy of the first two pages of your passport and a Passport size picture; showing the full name, signature, date of birth, passport number. Please make sure that your passport is valid for at least 6 months after the trip to avoid visa problems.  Copy of Passport and passport size picture (scan) send by email. PAYMENT INFORMATION: The Asian Hiking Team does not accept a part of the trip fee at the end of your trip. All the trip fees are required to be fully paid before your trip starts. You need to pay 20 percent down payment of the total price for advance flight tickets and hotel booking and permit process. Payments are wired by bank transfer, or credit card, or Western Union, or money grams or any money transfer. Please, use any ways of transfer according to your convenience. For advance payment, we will send you company bank details by email, or you can ask.

Payment of the Balance
As regards to the rest of your trip fees, you pay after your arrival in Kathmandu. For Expedition, 50% amount can be paid before a month of your arrival. 

Last Minute Booking
We accept your last minute booking for ONLY IN CASES OF NEPAL TRIP, but LAST MINUTE BOOKING WILL NOT BE ACCEPTABLE FOR BHUTAN AND TIBET TOUR.

Cancellation/Refund
Asian Hiking Team reserves the right to cancel a trip for any reason prior to departure.
In case of cancellation of tour/trip services due to any avoidable/unavoidable reason/s you must be informed in writing/messaging/calling.
07 days prior to arrival - 20% of the Tour cost (beside Tax, transportation, permits and others paid cost if any). 48 hours prior to arrival - 30% of the tour/trip cost (except Tax, transportation, permits and others paid cost if any) and Less than 48 hours or no show - NO REFUND.

Incomplete Tour
In case of incomplete Trekking / Tour / Rafting / Climbing / Expedition / Jungles safari / or others days due to the client's own problem, the amount of money paid not refundable. If clients want to go Trekking / Tour / Rafting / Climbing / Expedition / Jungles safari / or others tours more than itinerary, they can pay after back from tour with per day basic but should be permission with Tour guide / Leader. A tour / trek/Expedition guide who represents the Asian Hiking Team deserves all authority during your tours/Trek/Expedition.

Unexpected Circumstances
If Asian Hiking Team cancels your trip because of unforeseen circumstances like war, natural disasters, conflict, unfavorable climate etc., we will be happy to refer you to an alternative trip of a similar standard. Even if this doesn’t fit your personal interest, all money paid by you to our company will be refunded. But remember, any other expenses incurred by you as a result of this booking are entirely your responsibility. 

PERSONAL INSURANCE and TRAVEL ARRANGEMENTS:  

We expect clients to be in good health and possess the physical fitness level required for their particular program. Consult with your doctor before coming to Nepal. All customers are required to carry approved travel insurance that includes medical evacuation, repatriation and medical expenses for the duration of their program. Climbers (use of ropes, crampons, ice axes, etc.) must have a plan that covers technical, high-altitude mountaineering.
